The clock strikes 6 am and the alarm hits off loudly. Drowsily, Kelly shuts the alarm off before it disturbs his spouse’s sleep and wakes up to get ready for work. Today is a travel day and Kelly has to visit 6 clients in different regions to conduct sales meetings. Yep, she is a senior Sales Representative for a Coffee Empire and is outdoors mostly. Kelly quickly gets ready, packs her lunch, has her breakfast, and dashes out of the door for her first meeting of the day. As Kelly is driving to her destination using navigation directions on the map, she connects with Sandra, her Manager who is at their office. Kelly and Sandra will be away from each other all day but connected with Maplytics.
Now, how does this thing work?
Let us understand the in-depth working of Auto Scheduling
Last week Sandra and Kelly sat to finalize the clients within the sales Territory allotted to Kelly that Kelly needed to visit for Sales pitch phase 2. These were around 30 clients that were finalized and hence they were decided to be divided as 6 per day for a week. Sandra being the Manager had complete access to manage the schedule. She picked up the Auto Scheduling option within the Mass Actions button.
Within the Auto Scheduling card, Sandra selected
- start and end date of the schedule,
- the user names,
- the number of days the schedule was to be plotted for,
- the duration of every meeting,
- buffer times for travel,
- refreshments, and other emergencies, break times and durations,
- the working days of the week,
- the number of meetings per day, etc.
In advanced preferences, Sandra selected the Clients to be visited by Kelly, put in their locations as Origin and Destination points of travel, etc. The CRM details of the selected clients auto-populated into the system for visibility. Sandra also altered the meeting duration of a particular corporate client, as the client details highlighted the requested extra meeting duration. As Kelly did not have any pending, carry forwarded meetings in her name, adjusting the existing meetings was not needed. Once done, Sandra proceeded to schedule plotting and clicked on the button.

One of the scheduled appointments required Kelly to hold an extra 10-minute meeting with the Accounting Team to resolve their queries and so, Sandra created an activity for the same and added it as a reminder.
With these easy steps, Kelly was all set for the week and Sandra too was aware of her schedule at any point in time. In case of ad hoc requirements or emergencies, Sandra had the ability to alter the set schedule to add, modify, and cancel any meetings and Kelly would be notified about the same.
Following schedules while on the road
Although Kelly cannot alter the schedule on her end, now that she is on the road, she can access it to check the destinations, optimized travel routes, and any other client details. After an 8 min long drive, Kelly reached her first meeting destination and checked into the meeting using Maplytics within the Dynamics 365 CRM App for Mobiles. This was enabled by Sandra in the backend.
Once the meeting is over, Kelly can check out of the meeting by clicking the same button. This helps in avoiding the to and from between the office and meeting locations after every meeting and Kelly can complete all the meetings of the day at a stretch. Along with the checkout, points discussed in the meeting, urgent documents, and file attachments can also be shared by her while being on the go. Kelly can leverage this feature within a radius of the meeting location as specified by Sandra.
As Kelly travels a lot and visits, multiple clients, over a month, Sandra has allotted Kelly the ‘Pending Check-In/Check-Out Requests’ option. Using this, even if Kelly forgets to check in / check out from the location on the given day, she can do the same, later, from anywhere she is.
